Receptionist Job Description
Covenant Wealth Strategies is currently looking for a Receptionist to join our team! Our desire is to form long-lasting and mutually beneficial relationships amongst team members, clients, and the community.

The Receptionist will be working closely with all members of the Covenant Wealth Strategies team to provide proactive concierge service and excellent support. This position is an exempt full-time role with a minimum of 40 hours per work week, which may require occasional evening availability as needed.
Responsibilities:
Scheduling & CRM
- Manage the advisor’s calendars by planning and scheduling client strategy sessions.
- Monitor calendar conflicts and communicate effectively with the team.
- Be comfortable with technology to utilize reports and information in the CRM (Redtail) for scheduling purposes, along with the scheduling software, OnceHub.
- Create user profiles in Redtail by entering accurate details.
- Reconcile data in the CRM to complete missing fields.
- Utilize workflows in Redtail.
- Set-up meeting rooms and Zoom sessions for client and team meetings.
- Organize and add advisor CopyTalk notes in Redtail.
Administrative
- Assist with opening the office.
- Act as primary on answering the phones.
- Sort and distribute mail.
- Manage the monthly client birthday card process.
- Monitor monthly client fees and work in collaboration with LPL Financial.
- Assist with travel arrangements as needed.
- Provide general operational support including: data entry, mailing, emailing, scanning, uploading documents, answering phones and setting-up meeting space.
- Develop and maintain written systems of business activities on an ongoing basis.
- Assist other staff with client-related tasks as needed.
- Support our compliance team with preparing and processing F450s.
- Assemble presentation materials, including client preps for strategy sessions.
Client-Facing
- Build relationships and rapport with clients by “KYC” (Know Your Client).
- Identify opportunities to make clients and team members feel special (cards, gifts etc.) by participating on our client experience team.
- Process incoming checks.
- Greet and welcome clients through a personalized approach.
Professional Development
- Increase job knowledge by participating in educational opportunities, reading professional publications, reviewing LPL-created podcasts, etc.
Special Projects
- Maintain certifications, licenses, and designations for our licensed staff.
- Assume responsibility for the successful completion of other tasks outside of the formal job description.
Knowledge, Skills & Qualifications:
- Knowledge of or interest in the securities industry’s rules & regulations.
- Undergraduate college degree in Finance, Business, or comparable work experience.
- Ability to understand and use Microsoft Excel, Word and PowerPoint.
- Experience with Redtail and E-money are a plus.
- Excellent organizational and time management skills including the ability to manage multiple tasks with a high attention to detail and follow-through.
- Strong analytical and problem-solving skills.
- Experience managing highly confidential information.
